This policy explains how Planfocus Consulting Pty Ltd (ABN 27 603 602 982) (“Planfocus”, “we”, “us”) collects, uses, stores and discloses personal information. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

What we collect

We only collect personal information that we need to respond to you, provide our services and run our business. This may include:

  • Contact details you give us through our website forms, by email or by phone: your name, email address, phone number, practice or licensee name, and any message you send.
  • Business relationship details if you are a client or work with one: your role, the services you use, and records of our correspondence and support requests.
  • Website usage information collected through cookies and Google Analytics, such as pages visited, approximate location, device and browser type, and how you arrived at our site. This information does not identify you by name.

We do not need, and ask you not to send us, sensitive information or your clients’ personal information through our website forms.

How we collect it

Mostly directly from you: when you complete a form on our website, email or call us, attend an event, or engage us. We may also collect business contact details from your organisation in the course of providing services to it.

How we use it

  • To respond to your enquiry and arrange any consultation you request
  • To provide, support and improve our services
  • To send you our newsletter and occasional updates about our services, where you are a client or have agreed to receive them
  • To understand how our website is used, so we can improve it
  • To meet our legal and regulatory obligations

Marketing emails

Every marketing email we send includes an unsubscribe link, and you can also ask us to stop at any time using the contact details below. We will action your request promptly and in line with the Spam Act 2003 (Cth).

Who we share it with

We do not sell personal information. We share it only with service providers who help us run our business, and only as needed for them to do so:

  • Web3Forms, which delivers website form submissions to our inbox
  • Google (Google Analytics), which provides website usage reporting
  • Brevo, which sends our newsletter
  • Amazon Web Services, which hosts our website

We may also disclose personal information where the law requires or allows it.

Overseas disclosure

Some of these providers store or process information outside Australia, including in the United States and the European Union. We take reasonable steps to ensure they handle personal information in a way that is consistent with the Australian Privacy Principles.

Cookies and analytics

Our website uses cookies, including Google Analytics cookies, to measure how the site is used. You can block or delete cookies through your browser settings, or opt out of Google Analytics using Google’s browser add-on. The site will still work if you do.

Keeping it secure

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. We keep it only for as long as we need it for the purposes above or as required by law, then delete or de-identify it.

Accessing and correcting your information

You can ask to see the personal information we hold about you, or ask us to correct it, by contacting us. We will respond within a reasonable time, usually 30 days. If we can’t give you access, we will explain why.
